Job Title: Manager, Administration
Tenure of Employment: The appointment will be made on a one year fixed term contract, with the possibility of extension

Reporting to: Project Manager, Grassroots Tea Corporation
Qualification: Masters in Social Sciences of Business Administration
Experience: Not less than 5 years in similar role

Job Description
-
Develop and implement various admin processes and systems related to office and asset management, insurance, travel management, cost management, safety and security, stock/inventory management, and system compliances and Program/Project Management.

Includes, but not limited to:
-
Assessing asset requirement, gathering specifications and configuration, procure, configure, handover, ensure maintenance, and disposal. Ensure all assets are tabulated tagged and assets are accounted for. Process invoices.

Placing the orders for stationery with suppliers. Maintain reasonable quantities of stationery in stock. Arrange for payment of accounts of stationery suppliers

Servicing committees and Board, Partner and stakeholder meetings;

Assisting with recruitment, public relations and marketing activities;

Providing administrative support to Programme Staff;

Drafting and interpreting regulations;
-
Develop, implement, and monitor operational systems and processes including analysis of key metrics

Recruiting and training admin and housekeeping personnel and allocate responsibilities and office space
-
Assessing the risk for the office infrastructure which includes safety against theft, fire, and burglary.

Attending to compliances related to office administration, like drafting rental agreements, property tax, insurances (people and property) etc

Liaising with other administrative staff, finance staff and Programme Staff to establish and maintain a trusting, inclusive, and productive environment

Liaising with partner institutions, other institutions, external agencies, government departments etc;

Events, Training and workshop coordination - Identification of venue for events, training and workshop, support in logistics, procurement of required materials and resources for the workshop.

Making flight, train, hotel and venue bookings on behalf of team members.

Representing organisations in matters of contractual agreement; regulations or reporting requirements stipulated by GTC, financial institutions, local, state, or national agencies.

Serving as human resource officer and oversees the implementation of personnel policies.

Giving general information on GTC (e.g. main purpose, web address, physical location and directions) to callers.

Kindly keep in mind that the responsibilities given are not exhaustive. Your are expected to listen to and implement instructions from the Managing Director .
